Healthcare operations consolidation: when one system matters

Download case study

Running healthcare operations at scale means more than processing payroll with a standard template. Hümi Healthcare, part of ENT & Allergy Associates, manages 1,700+ employees, which means handling variable physician compensation, processing performance-based bonuses on different schedules, and managing partner K-1 documentation alongside regular employee payroll. All of this has to work across four different states, each with its own tax codes and timing requirements.

For years, Hümi was running on a legacy payroll system that looked unified but operated as four separate platforms under the surface. To troubleshoot a tax issue, Jonathan Gallagher, assistant director for payroll, tried reaching out to the vendor’s support team. That team had no visibility into what their payroll or benefits functions were experiencing due to the fragmented service approach. When the system crashed during a routine update, when employees couldn’t access their W-2s, when a state regulation changed overnight, each problem belonged to a separate silo. Jonathan built manual workarounds. His accounting team learned to live with it. But when the system's infrastructure itself began to crack, Jonathan knew something had to change.

The decision to implement Workday and add OneSource Virtual (OSV) for healthcare payroll software came down to three things: control over their payroll operations, real-time visibility into what was happening, and a partner who could respond in a timely manner when something broke.

Jonathan tested the capabilities among Workday payroll integration vendors and found one clear winner. “The reason why we chose OSV over ADP, and I can say that, is because of that in-tenant piece,” he explains. Traditional payroll processing services operate through feeds or API integrations. If the feed or integration breaks, tax payments and employee deposits fail. There’s no backup. With OSV, the in-tenant approach mitigates this risk, but OSV specialists can access Hümi’s tenant and manually pull what’s needed to keep paychecks processing. That is the true difference between a vendor and a genuine partner.

One year in, Jonathan no longer dreads payroll day. The risk shifted from “What if something breaks?” to “If something breaks, someone’s already in the system who can fix it.”
